/ The Challenge

Where the hours were going.

Selling the same inventory in several places is great for reach and terrible for bookkeeping. When a guitar sold in the store, its Marketplace listing stayed up. Buyers messaged about instruments that were already gone, and staff spent hours reconciling spreadsheets against listings.

Mainstream CRMs were either too big, too expensive, or simply didn't understand how a used-instrument business works — one-of-a-kind items, trade-ins, consignments, and listings on platforms they don't integrate with.

/ What We Built

The AI-enhanced workflow.

We built a CRM sized to the business: customers, inventory, deals, and follow-ups in one place, without the bloat of enterprise tools.

The standout feature is Marketplace awareness. The system detects the dealer's Facebook Marketplace listings, matches them to inventory records, and updates or modifies them when an item's status changes — so a sold guitar stops showing as available.

Because it's custom, it keeps adapting. New fields, workflows, and sales channels are added as the business needs them, not when a vendor gets around to it.

/ How We Built It

From friction to system.

  1. Step 01

    Audit the channels

We mapped every place inventory lived and where it drifted out of sync.

  2. Step 02

    Build the core

A focused CRM around the dealer's actual sales process.

  3. Step 03

    Connect Marketplace

Listing detection and matching tie Marketplace back to the inventory record.

  4. Step 04

    Automate the sync

Status changes flow out to every channel automatically.

/ Outcomes

What changed.

  • No more sold instruments still showing as available
  • Hours of weekly spreadsheet reconciliation eliminated
  • A CRM that fits the business instead of the other way around
/ Questions

Common questions.

Why build a custom CRM instead of buying one?
When a business has industry-specific needs — like syncing with Marketplace — a lean custom tool can cost less and do more than a large platform that doesn't fit.
Does it work with other sales channels?
Yes. The same reconciliation approach extends to websites, other marketplaces, and point-of-sale systems.
